Privacy Policy

This policy is incorporated into and forms part of the SalesTax50 Terms of Service. If a specific provision conflicts with the main Terms, the main Terms control.

1. Scope and Roles

SalesTax50 LLC collects and processes information when you visit or use the Service, create or manage an account, connect sales channels, upload files, configure tax filings, approve filings, communicate with us, or pay SalesTax50 fees. For account, billing, security, and business-administration information, SalesTax50 may act as an independent business/controller. For personal information contained in customer sales data that SalesTax50 processes to provide the Service, SalesTax50 generally acts as the customer's service provider/processor.

2. Information We Collect

  • Account information, including name, email, business role, phone number, authentication information, and account settings. Passwords are not intended to be stored in plaintext and should be stored using salted cryptographic hashes.
  • Business information, including legal business name, DBA, EIN, entity type, addresses, phone numbers, registered jurisdictions, sales tax permit/account information, filing frequencies, prior filing provider information, and other information needed to configure the Service.
  • Sales and transaction information imported from connected channels or uploaded files, including order numbers, transaction dates, totals, discounts, refunds, shipping amounts, taxable or exempt amounts, tax collected, marketplace information, product descriptions, and destination or address information supplied by the source system.
  • Integration information, such as access tokens or credentials needed to retrieve authorized data from sales channels, marketplaces, accounting systems, or other connected services.
  • Filing information and credentials, including state taxpayer account numbers, filing frequencies, portal credentials or authorization information, prepared return data, filing confirmations, and information needed to submit a filing you approve.
  • Filing approval and audit records, including approving user, account, jurisdiction, filing period, approved figures, data-through timestamp, approval timestamp, approval-language version, Terms version, filing snapshot, transmission status, and confirmation information.
  • Billing and payment information necessary to administer SalesTax50 fees. SalesTax50 may use third-party payment processors for ACH, card, or other supported payments. Where technically supported, sensitive payment credentials are handled through processor-controlled or tokenized functionality rather than retained in SalesTax50 application databases. SalesTax50 may retain payment tokens, masked payment details, transaction identifiers, authorization records, payment status, billing history, and related records.
  • Usage, device, and security information, including IP address, browser type, device information, operating system, pages or screens viewed, login timestamps, session information, error logs, security events, and similar technical information.

SalesTax50 does not require merchants to provide full buyer payment-card numbers as part of sales tax transaction imports. SalesTax50 does not intentionally store card security codes. State tax remittance account. If you enroll in AutoFile, you may provide the bank account number, routing number, and account type of the account from which approved state tax payments are to be drawn. SalesTax50 collects and stores this remittance information in encrypted form, masks it after entry, restricts access to authorized filing personnel, and uses it only in connection with returns you approve — to enter or facilitate the tax payment through the applicable taxing authority or its authorized payment system. SalesTax50 does not hold or transfer your tax funds itself, and does not use this account for SalesTax50 subscription or service fees. You can replace or remove the account at any time in your account settings.

3. How We Use Information

  • create, administer, authenticate, and secure accounts;
  • connect authorized sales channels and import transactions;
  • calculate, summarize, and report sales tax information;
  • prepare and, after required customer approval, submit sales tax returns;
  • maintain filing snapshots, confirmations, and audit records;
  • send filing, account, security, billing, and service notices;
  • provide support, troubleshoot, prevent fraud or abuse, and maintain the Service;
  • process SalesTax50 subscription and service fees through payment service providers;
  • comply with legal obligations and enforce applicable agreements; and
  • improve the Service using operational, aggregated, or de-identified information where reasonably appropriate.

SalesTax50 does not sell personal information for monetary consideration and does not use customer transaction or filing data for cross-context behavioral advertising. SalesTax50 does not use identifiable customer sales data, tax filing data, EINs, filing credentials, or customer personal information to train general-purpose artificial intelligence models.

4. Customer and Third-Party Data Responsibility

SalesTax50 processes information supplied by, uploaded by, imported at the direction of, or otherwise authorized by the customer. SalesTax50 does not independently audit the legality, accuracy, completeness, or timeliness of Shopify, marketplace, uploaded-file, payment-platform, accounting-system, or other third-party data. The customer remains responsible for having lawful authority to provide or authorize the processing of such information and for the accuracy and completeness of information used in filings.

5. Disclosures and Service Providers

  • Tax authorities, when the customer directs or authorizes a filing or related submission.
  • Authorized accounting firms, bookkeepers, tax professionals, or other account administrators where the customer has granted access or authority.
  • Service providers in categories such as cloud hosting, databases, cybersecurity, monitoring, communications, payment processing, backup, storage, customer support, and related operational services.
  • Governmental, judicial, regulatory, law-enforcement, or other persons when reasonably necessary to comply with law, legal process, protect rights or users, investigate fraud or security incidents, or prevent harm.
  • Persons involved in a merger, acquisition, financing, restructuring, bankruptcy, or sale of all or part of SalesTax50's business or assets, subject to applicable law.

SalesTax50 is not required to obtain customer approval each time it engages or replaces an operational service provider unless applicable law or a separate written agreement expressly requires otherwise.

6. Retention and Deletion

SalesTax50 retains information only for as long as reasonably necessary for account administration, tax filing support, legal and regulatory obligations, accounting and billing, audits, disputes, fraud prevention, security, backups, and enforcement of agreements. Retention periods vary by information type and jurisdiction. Filed returns, filing snapshots, confirmation records, approval records, and related audit trails may be retained for longer periods where reasonably necessary. Following account closure, information no longer reasonably necessary may be deleted or de-identified, subject to backup cycles, legal holds, tax and accounting records, security records, disputes, and other lawful retention needs. SalesTax50 does not promise universal deletion of all information within a fixed number of days.

7. Privacy Rights

Depending on applicable law, individuals may have rights to request access, correction, deletion, or a copy of certain personal information and to exercise other privacy rights. Requests may be subject to reasonable verification and legal exceptions. Where SalesTax50 processes personal information solely on behalf of a business customer, SalesTax50 may refer the request to that customer or assist the customer as required by applicable law. Requests may be submitted to support@salestax50.com.

8. Children

The Service is intended for businesses and is not directed to children under 16. SalesTax50 does not knowingly seek to collect personal information directly from children under 16.

9. Changes and Contact

SalesTax50 may update this Privacy Policy as the Service, law, technology, or business practices change. Material changes will be communicated as required by applicable law. Privacy questions may be directed to support@salestax50.com.
